Share Locations and Files With Google Calendar
Are you hosting an event? Use Google Calendar to create a bundle for your guests to know the date and time of the event, where it’s taking place, the navigation to the venue, and other additional information that they might require. Read the article to know how to do it all or tell Google to it all.
How to Create an Event Using Google Calendar
Create an event on Google Calendar by navigating to its website. You can choose the viewing method before downloading the calendar. You can consider “Monthly” as your viewing method as it is convenient to create events that are coming soon. You can then click the date on which the event is happening to expand “More Options.” Further, you can enter the name of your event at the top of the screen and set the starting and ending time of the event. If you think that this event might take your entire day, then you can select “All Day.”
How to Add a Location For Your Event
Adding a location to your event on your Google calendar will also help your guests to get the directions to the event venue. So, if you are the event host, you can cut down one thing you need to take care of.
All you need to do is feed the event location into the “Location” box. You can add the exact address that might include the building name, floor, and even the hall name. Once the location has been added, you can cross-check if Google Maps is directing your guests to the correct location by clicking on the small map icon that appears on the top-right corner of your screen.
How to Add an Attachment to the Event
An event requests millions of tasks to be fulfilled, including sending invitations, schedules, tickets, or menus to the guests. With Google Calendar, you won’t have to do all of this in person, as you can simply add attachments for such details with your event.
All you need to do is utilize the options available in the event creation window located at the bottom of your screen. Find the paperclip icon in this window and click on it to attach a file. You can either upload a file from your Google Drive or Upload a file from your PC. Don’t forget to add a brief description to this attached file so that your guests know what it is.
One of the most important things about hosting an event is inviting your guests because you can’t have an event without attending it. Gone are the days when you had to visit each guest to invite them. Now, you can use Google Calendar to complete this task.
All you need to do is open your Google Calendar and start typing in email addresses in the box that says, “Guests.” Know that this won’t send the invitation right away. You will still have time to finalize the guest list before hitting the send button.
You might want to disable the option that allows your guests to invite friends and see the guest list. If yes, you can uncheck the same option in the list at the bottom of the page.
Now, you are ready to prepare the invitation mail. Just click on the envelope icon at the top right to get started.
Just write the invitation email that you want to send your guests, and the Google Calendar will handle the rest.
Finally, once the email has been prepared, hit the Send button to deliver the invitation to your guests.
This email will include the title of the event, date, time, location with a map link, the organizer’s name, the attachment you added, and everything else that you fed in Google Calendar to send.
Organizing an event doesn’t need to be difficult if you can condense the necessary information and process it into one place. And that is exactly what Google Calendar is meant for. We hope that you now have enough knowledge on using Google Calendar to ease your event planning process.
